What’s New in AppFolio: Fall 2026

What’s New in AppFolio: Fall 2026

Property management teams have no shortage of work to get through. As priorities, expectations, and demands continue to grow, technology has helped the industry keep pace by making everyday work faster and easier to manage. But at AppFolio, we’re asking: What if technology could take more of that work off your list altogether?

That question shaped much of what we delivered in Q3 and how we continue to innovate across the AppFolio platform: building technology that understands your business, works from the data you already have, and helps move tasks forward. The goal isn’t technology for technology’s sake. It’s giving your teams more capacity to focus on the decisions, relationships, and opportunities that improve performance.

At FUTURE 2026 in San Diego, we introduced an AI agent that takes a goal, builds a plan, then carries it out. We handed a finance team’s least favorite work — bill entry, month-end close, and budgeting — to an AI agent that shows its reasoning. And we built a maintenance view that flags when a metric changes.

Keep reading to learn what we delivered in Q3 across AI and automation, accounting and reporting, maintenance, resident experience, marketing and leasing, and AppFolio Stack™ Marketplace.

The New AppFolio Realm-X

Realm-X began as a faster way through your to-do list, but has since evolved.

Available on all AppFolio plans, the new AppFolio Realm-X starts with your goal rather than a task. Tell it what you want, like reducing vacancy at a property, or increasing revenue before the quarter closes, and Realm-X builds a plan using your data in real time. From there, you can dig deeper and ask questions about documents, move from portfolio-wide insights to individual properties, visualize your data, and export finished reports, all without leaving AppFolio.

Realm-X can take on work that once required a person to execute, from sending personalized messages at scale to opening work orders, initiating bills, and flagging delinquent accounts. It acts with the context of your portfolio, while your team maintains oversight and control every step of the way.

Realm-X now goes beyond telling you what happened to understanding why and taking action on what comes next.

AppFolio Realm-X Flows

No two operators run the same playbook. The workflows that matter most tend to be the ones shaped by your own rules, and those are the hardest to fit into systems built in advance.

Build Your Own Flow makes room for that. Start from scratch and use Conditional Groups with and/or logic, expanded conditional fields, and new triggers to build around how your business actually operates.

Flows also extends beyond AppFolio. Integrations with RentCheck and SnapInspect’s property inspection software allow inspection data to move in both directions, so Flows can act on results alongside the rest of your portfolio data. That means you’ll spend less time moving between systems and more of your operations will work together from one place.

Realm-X Connector in Claude

The Realm-X Connector in Claude is out of beta and is now available for all customers. Core Customers have access with Read capabilities, and Plus and Max customers have access with Read & Write capabilities.

Leasing Performance

Accounting and Reporting

AppFolio Realm-X Accounting Performer

Nobody got into this business to spend their evenings and weekends entering bills, closing the books, or building budgets. But the work still has to get done, and too often, it pulls accounting teams away from higher-value work.

The AppFolio Realm-X Accounting Performer takes on more of that workload. Think of the Accounting Performer as a teammate, not a black box. The Performer enters bills, supports reconciliations, closes the books, and builds forecasts, all under human supervision. And because the Accounting Performer is built directly into AppFolio, all actions are visible and auditable, so your team can see what the Performer did and why. The result: less time entering data and more time understanding what the numbers mean for your business.

Bill Entry and Continuous Financial Close are available for AppFolio Plus and Max customers, with Budgeting available for AppFolio Max customers. Reconciliation is coming soon for Plus and Max customers, continuously matching bank transactions against your books to make month-end less of a scramble.

Core customers can add the Accounting Performer to their AppFolio plan.

Integrated Banking With Column

Managing finances shouldn’t mean chasing statements, matching transactions by hand, or making owners wait for funds and answers. Your team shouldn’t have to bridge the gap between your property management software and your bank. AppFolio and Column are setting a new standard for real estate financial operations — bringing banking, intelligent accounting, and owner payments into one connected experience.

Through a direct integration with Column, transactions appear in AppFolio within seconds of hitting your bank account, not days later. Owners can be paid the next business day, and you pay zero transaction fees when you pay owners with Column through AppFolio. When Reconciliation arrives for the Accounting Performer,* the transactions flowing in from Column will be matched automatically, and anything unresolved will be flagged for your team. Download bank statements and view your balance directly in AppFolio, where your financials already live. Positive Pay automatically checks every presented check against what you issued in AppFolio and flags mismatches before payment goes through, helping catch unauthorized or altered checks before they cost you.

Generic business banking wasn't designed for property management. Your business runs on trust accounts, owner distributions, and financial responsibilities that call for more than a standard operating account. Column combines real estate trust and operating accounts, configurable permissions and approvals, advanced banking technology, and a dedicated team built around how property management actually works.

*Accounting Performer Reconciliation will be available in Q1 2027 at no additional cost for bank accounts connected to Column through AppFolio StackTM. Learn more here.

Corporate Accounting: Reimbursable Expenses

When a management company keeps its corporate books in one system and property accounting in another, teams are left connecting the dots between the two.

Corporate Accounting brings your management company and property accounting together in AppFolio. Reimbursable Expenses takes another manual process out of the spreadsheet. Mark an expense as reimbursable when it’s entered, see what each property owes from a single dashboard, and generate reimbursement bills directly from there.

The details stay connected, too. Bills retain the date of the original expense, expenses can be billed individually or consolidated, and payments go directly to the corporate entity in AppFolio.

"I am no longer dreading the month-end check run because setting up reimbursements, which used to take me several hours, is now finished in a few clicks."

Wendy Golter

Hegenes Properties Inc., 3,000+ Units

From expense entry through payment, it’s one connected workflow, giving your team less to reconcile and untangle at close.

Portfolio Accounting: Portfolio Available Funds and Portfolio Distributions

Managing multiple properties for the same owner should be straightforward, but property-level accounting treats each property as its own island. The result: Every billing cycle, teams are manually exporting balances, calculating transfers, and cross-checking spreadsheets just to figure out what an owner actually has on hand.

Portfolio Accounting changes that, giving you a unified view of an owner’s cash position across their entire portfolio. Portfolio Available Funds groups bills by owner, so you can make informed decisions on what you pay and when. Portfolio Distributions carries the same logic into owner payouts: Positive properties automatically cover negative ones, with true-up transfers handled in the same flow. Every transaction is still posted to the individual property, preserving property-level net operating income (NOI), but the cash is now handled at the ownership level.

With Portfolio Accounting, cash follows the owner, not the property it happens to sit in.

Maintenance

The Maintenance Performance Dashboard

Your maintenance data can tell you a lot, but only if you know where to look and when to act.

The Maintenance Performance Dashboard brings the metrics that impact NOI into focus, so your team can spot issues and act sooner. Smart Thresholds alert you when a metric moves beyond the range you’ve set, rather than leaving your team to find it later. AI Diagnostic Annotations provide the context behind the change, including which properties and work order types are driving it and what may need attention. From there, Realm-X Smart Actions turn that insight into a workflow with one click.

Signal, context, and action come together in a single view so your team spends less time figuring out what happened and more time addressing the work that impacts residents and performance.

The Maintenance Performance Dashboard is coming soon to Plus and Max customers.

In-House Technician Follow-Up From the Realm-X Maintenance Performer

Completing a repair doesn’t always mean the work order is complete. Photos, notes, and receipts can still be missing after an in-house technician finishes the job, leaving your team chasing documentation and billing waiting on follow-up.

The AppFolio Realm-X Maintenance Performer helps close that gap by following up with technicians by text (or email when a phone number isn’t available) to get the overall work order status and collect documentation needed to complete the work order. What they send is added directly to the work order, and once the technician confirms the job is finished, the Maintenance Performer can close the work order and get it ready for billing, with all work visible in the work order section in AppFolio.

For your team, that’s a faster path to billing and a maintenance record that reflects when the resident’s repair was actually completed.

Resident Experience

Conversation Insights for the Realm-X Resident Messenger Performer

Giving residents accurate answers starts with giving AI the right information. The challenge is knowing where information may be missing, something that previously required teams to review conversations manually and look for patterns.

Conversation Insights help customers understand what’s happening in resident conversations and where they can improve. Using Realm-X Assistant, it surfaces key themes and emerging trends, tracks resident sentiment, and automatically identifies conversation gaps. It also recommends improvements to the FAQs the Resident Messenger Performer uses to respond. Clearer insights into what's missing help teams keep a pulse on resident needs, improve automated resolution, and save time.

Marketing and Leasing

Online Certified Funds at Move-In

Move-in day already comes with a long list, and requiring residents to certify their move-in payments with a cashier’s check or money order only adds another errand before they can get their keys.

Online Certified Funds at Move-In removes that extra errand. Residents pay their security deposit and first month’s rent by debit or credit card during onboarding, and payments are effectively irrevocable, giving you 100% move-in payment protection at no additional cost. It’s one less thing standing between a signed lease and a resident holding the keys.

AppFolio Stack™ Marketplace

Apartment List Pay-Per-Lease

Rental advertising can make it difficult to connect marketing spend directly to signed leases. You may generate plenty of clicks and inquiries, but not every one converts into a resident.

Apartment List takes a performance-based approach. Its pay-per-lease model puts your listings in front of renters who are ready to move, and you only pay when a lease is signed.* Instead of paying for clicks that may not convert, your marketing dollars are tied directly to leasing results.

*Apartment List platform fees apply.
