Property manager turned entrepreneur

After working for other property management businesses for over 20 years, Tami decided she wanted to start her own company in 2018. Now, only five years later, she has nearly doubled her portfolio and become a leading property management business in the area.
“I started in property management 20 years ago. I worked for a very small company. I moved on, got my real estate license, and started taking on properties for quite a few years, working for other companies. Then about 10 years ago, I was hired to start a new company. I took two property management companies and merged them into one, so it was a pretty big undertaking. After that, I thought, why am I doing this for somebody else? So decided to open my own company in 2018 and have since doubled my portfolio.”

From multi-step to 
one-stop shop

Having used various software solutions throughout the years that were cumbersome and inefficient, Tami knew AppFolio was the software she wanted to run her business due to its user-friendliness, mobility, and customer support.

“The previous company I worked for used a different software. It was not user-friendly, and you still had to open the paper file to find the actual copy of the bill. I had to open 10 different screens to track anything. Everything just took so long. So we ended up switching to AppFolio, which was much easier to use and a one-stop shop. So when I went to start my own company, I already knew I wanted to use AppFolio.”

A better way to work

AppFolio works as an extension of Tami’s team, taking on tedious manual processes like screening residents and preparing owner reports. As a result, Tami can get work done faster and more efficiently, without expanding headcount.

“Tenant screening is seamless in AppFolio. Rather than having to manually call a company and do the research, everything is right there. I like that I can see more details if I need them. It makes it so quick to approve tenants. I also really love owner statements in AppFolio. All I have to do is change the email so it’s personalized for the month, and then I can send everyone their statements, whereas before it would take me two or three days to get the statements ready. I had to print everything and then address and stamp so many envelopes. Now I’m done in five minutes, and everybody has all the information they need.”

Making sense of maintenance

Maintenance can be challenging, especially when you’re managing single-family rental homes across town, each with different maintenance needs. However, with AppFolio, Tami can keep track of repairs, quickly communicate with residents, and dispatch vendors.
“My residents can go into their online portal and submit a maintenance request in a few seconds without having to go back and forth calling me. They can attach pictures to show me the problem, so I can get the right vendor out. It’s quick and the best part is that everything is documented.”
Along with maintenance requests, work orders are also seamless and have saved Tami valuable time.
“At my previous company, I had to wait for renters to email me photos or go and take them myself, and then go back into their paper files and check if we made the repair before. And then I would have to call the vendor, re-explain everything, and then schedule a time for them to complete the repair. It would take hours if not days to complete a work order. Sending a work order out now with AppFolio takes me five minutes.”

Finding new efficiencies

In the coming years, Tami’s primary goal is to delegate more of her day-to-day tasks to her assistant so that she can focus on winning new business and providing personalized service to renters and owners. AppFolio has made it easy to train her assistant and automate manual processes from accounting to maintenance.
“My goal is to get my assistant to the point where she’s doing all of the paperwork and the computer stuff, and I’m just out getting new properties, doing inspections, or meeting with the tenants. With AppFolio, she has been able to learn very quickly. She loves how easy it is to process work orders and input bills.”

Happy renters keep happy homes

Keeping renters satisfied is a top priority for Tami. Having mobile tools that enable residents to complete tasks on their own has allowed her to provide a better customer experience.

“My customer service philosophy is ‘happy tenants keep happy homes.’ If tenants are happy and you’re responding to them quickly, treating them like people, and addressing their needs, then they will take good care of their homes. For them to be able to submit a maintenance request makes life easier and more convenient.”

Being bogged down with manual and repetitive tasks can make it difficult to prioritize the things that really matter. AppFolio takes a lot of the busy work off Tami’s plate and frees her to focus on what she’s passionate about.

“With AppFolio, I’m not wasting my time on paperwork. So I’m able to go look at new properties, assist renters and owners, and do the hands-on things that I’m really proud of as a property manager.”
