Drawing from years of experience in institutional management, Natalie knew legacy systems, with their clunky software and manual workarounds, stifled scalability. So when she and Brian Campa founded Dynamic Property Solutions, AppFolio was the obvious choice for their operating platform.
“We knew we had to be cloud-based. We had to be mobile. In the early years at Dynamic, I was going from city to city in a truck with a construction manager, literally operating the entire portfolio on an iPad.”
With AppFolio in place, Dynamic grew quickly. The company acquired 210 units in just over a year and began taking on third-party management work after other owners saw how efficiently the team operated.
“What I’m doing is designing and refining the systems so that our team can operate at a high level. That lets us focus on improving the assets, building the right partnerships, and growing the business.”
Dynamic’s diverse portfolio requires a versatile solution. With AppFolio, the team manages every property type through a single operating platform rather than fragmented workflows. This consistency allows Dynamic to apply institutional-level standards to even their smallest boutique properties.
“In a unified system like AppFolio, you can offer so many different products. We have single-family homes, then this ‘middle housing’ of 16 to 40 units with no on-site staff, and then properties of 50 to 100 units. Small properties still deserve serious operators.”
Dynamic built their operations on proactivity, not reactivity. Internally, the team has taken the performance management philosophy of AppFolio even further.
“Our internal joke is that we’re past property management. We want to engineer performance.”
That mindset is especially clear in maintenance. Rather than waiting for residents to submit work orders, Dynamic manages preventive maintenance at the unit level using Realm-X Maintenance Performer and Recurring Work Orders. Every unit gets serviced on a schedule, regardless of how long the resident has lived there.
“We’re draining the hot water heater, PMing the HVAC, and cleaning dishwasher filters proactively. People ask why we’re spending time on that, but we’ve seen our work orders decrease by half.”
The shift has changed the team’s day-to-day experience. After a four-day holiday weekend, the team returned to find the queue completely empty.
“We actually thought something was wrong with the system. We thought it was down because we had zero work orders. That's when you know the engineering is working.”
Because Dynamic’s systems are centralized and automated, the team can manage more units with fewer people.
“Our sales engine hasn’t caught our operations engine yet. We think we could double our unit count and make zero new hires because AppFolio eliminates the friction.”
Dynamic’s operating model has also made it easier to expand into new properties and markets.
“When we’ve taken on third-party management, we’ve onboarded properties in a single day. That speed matters when taking over assets with unreliable records. You might get five different Excel reports that don’t tie out. But once we get it into AppFolio, we have instant context. Within 30 days, we have a full operational and capital plan ready to execute.”
For Natalie, automation isn’t about replacing people; it’s about freeing them to do what humans do best: make strategic choices and build relationships.
“I’m not trying to remove humans. I’m trying to reinsert them in a more meaningful way. By letting robots do the robot work — chasing forms or manually scheduling tasks — our team is free to drop off gifts for residents or spend more time on the phone building rapport.”
Realm-X has been critical to this shift:
“Fifteen years ago, rent collection was the first 7 days of my job. Now, I don't even see our manager working on delinquencies. It happens automatically. The numbers immediately started to trend down, and we saw a full retraining of the resident — and staff — within 90 days.”

This visibility has given Natalie the freedom to lead from the field and focus on delivering the value that sets her company apart.
“I’m able to be on-site picking light fixtures and paint colors for a renovation while still running every aspect of the company from my iPad. We have a 10X goal, and we’re purchasing other companies to get there. We’re able to do that because we know it’s as easy to plug in one unit as it is 1,000. There’s no breaking the system.”
Natalie believes the property management industry is moving too quickly for operators to rely on manual processes. Her message to other operators is that automation and AI are no longer optional.
