Redefining Real Estate

Based in Cincinnati, DJ entered real estate 11 years ago, buying a single-family home straight out of college. What started as a single investment quickly evolved into a high-performing property management operation. Today, he serves as Owner, Operator, and Founder of Prosper Capital (a real estate investment firm) and Prosper Communities (its management arm). Prosper operates primarily as an owner-operator, not a third-party manager, which is a distinction ‌that shapes how the company defines performance.

Prosper’s 15-person team oversees nearly 500 units, primarily multifamily, with a small mix of single-family, commercial, and short-term rentals, all within a 30-mile radius of Cincinnati. DJ and his team approach property management differently: Scale alone isn’t the goal; performance is. DJ has built Prosper on a simple belief: When you elevate the experience, performance follows.

“We think of ourselves more like a boutique hotel experience than the traditional ‘pay your rent on the first and talk to you later’ model. It’s about creating a better service, and that’s something that’s unprecedented in the marketplace."

A Platform Built to Scale

Like many owners, DJ started with basic software, and the priority was simple: collect rent, track the essentials, and keep operations moving. At the time, it supported that stage of growth, providing him with a starting framework for managing a small portfolio without overcomplicating things. As Prosper sought to evolve into a structured company with employees, in-house services, and long-term ambitions, the limitations of that solution became harder to ignore.

“When I first started, our previous solution was a great resource at the size we were at. It helped me collect rent and standardize some processes, but it was essentially just a shell. It didn’t have the muscle behind it.”

If Prosper wanted to begin its next chapter, DJ knew that ‌technology had to mature alongside his business. When it was time to upgrade, he didn’t rush the decision. He evaluated major players, comparing features, costs, and long-term fit across platforms such as Buildium, Yardi, and Rent Manager. Price mattered, especially as a growing operator, but performance mattered more.

“It wasn’t a rash decision, and I looked at all the pros and cons between AppFolio, Buildium, Yardi, Rent Manager, and everything in between. The one thing I found, and why I ultimately decided on AppFolio, was the user experience — both on the resident side and as an employee working on the backend. It felt like fewer clicks and easier to get things done.”

When DJ committed to switching to AppFolio, the timeline moved quickly. Rather than a distant next step, onboarding was scheduled within days, not months. Change at that scale can feel disruptive, but what stood out wasn’t the speed of the transition; it was how controlled it felt.

“I was very hesitant to change because of all the moving pieces I felt that had to move at once. I remember the onboarding team saying, ‘We’re starting next month,’ and I’m thinking about switching residents over, and wondering if this is going to impact anything. But we met multiple times, and it was a seamless experience overall. We basically had zero hiccups during the transition. Residents were moved to the new platform, and we didn’t miss a beat.”

What could have felt overwhelming on paper played out differently in practice. Through structured checklists, guided sessions, and multiple touchpoints, AppFolio guides the onboarding process with clarity and control. This type of continuity mattered for Prosper. For a company built around experience and responsiveness, any disruption would have been noticeable. Instead, the rollout to AppFolio reinforced the operational discipline DJ wanted to build.

“Usually, no resident is good with change. But the minimal friction and minimal calls we got about migrating to AppFolio showed that it was very seamless. Being able to deploy a text message with a link to residents to set up their account helped. If there was friction, it was to help the less tech-savvy residents. But outside of that, there weren’t many issues.”

“A property management business is basically a CPA or accounting firm because 90% of the work is accounting. We use AppFolio as our system of record, so if it’s not in AppFolio, it doesn’t exist. Everything we do — from GL accounts to work orders and residents notes — runs through AppFolio, making sure we’re tracking accurately and protecting our residents.”

“Our techs can document each work order with pictures and notes, so we have a detailed record of exactly what happened. It’s not just for internal tracking. It’s proof we delivered on our promises and a tool to resolve any questions or disputes with residents. We’re proud to say that our average work order completion time is approximately 24 hours.”

Automation That Amplifies

“We rely on AppFolio Realm-X Flows to fill in the gaps and to automatically push communications to our residents. We use the Rent Reminder Flow and it’s a huge timesaver. The system automatically sends texts and emails, and we don’t touch it unless we have to print notices.

Renewals work the same way. Once the manual setup is done, it’s hands-off, only prompting us at 100 days and 30 days. Outside of that, it just runs itself. We’re moving more tasks over to Realm-X to let it handle the heavy lifting for us.”

By automating routine interactions, his team can engage in more strategic conversations, elevate the resident experience, and drive true business performance — all without adding unnecessary systems or complexity.

“Our preference is fewer systems if we can. So we will do anything that we can to try to avoid getting more and more systems. Because AI is integrated in AppFolio, it can answer the questions based on the information that we have in the system because it’s all in there.”
